Moving out of a student house always seems straightforward… until it isn’t.
Everyone’s leaving at different times, cleaning gets rushed, someone assumes someone else has sorted the keys, and before you know it, deposits are delayed and charges start appearing.
The frustrating part is that most of this is completely avoidable.
If there’s one thing that slows everything down, it’s keys not being returned properly.
Your tenancy has a fixed end date, and all keys must be back with us by 10:00am on that day. Miss that, and you could end up being charged additional rent. But the bigger issue isn’t usually lateness. It’s coordination.
One person leaves early with their key. Someone else forgets theirs. Another assumes it’s already been handed in. The result is the same every time, everything gets delayed.
Because until all keys are returned, we can’t move forward with your deposit.
If you’ve already moved out, don’t sit on your keys. Hand them in. It’s the simplest way to keep things moving.
There’s often confusion around this, but you don’t all need to come into the office as a group.
We do prefer tenants to return their own keys where possible, but if that’s not practical, one person can bring them in on behalf of the house.
The key thing is that everything is returned, nothing is missing, and it’s done on time.
If you can’t make it in person, there are still options. Keys can be dropped off securely or posted, just make sure they’re clearly labelled with your name and a forwarding address so we know exactly who they belong to.
Most deposit deductions don’t come from major damage. They come from things that were missed.
Cleaning is the biggest one.
A quick once-over won’t cut it. The expectation is that the property is returned in the same condition you received it, or better. That means a proper deep clean.
Where people usually fall short is in the less obvious places. Under furniture, inside appliances, windows, and wardrobes. These are the areas that get picked up every time.
The same goes for rubbish. If anything is left behind, we have to arrange removal, and that cost gets passed on. It’s not something we can just throw in a bin.
Every year, tenants will lose money over something as simple as a missing key. If keys aren’t returned, or they don’t work, there’s a £25 charge per key. It’s worth checking this properly before move-out day. Not when you’re already on your way out the door.
When everything is done properly, deposits can be processed in as little as a few days.
But in reality, delays happen when:
Keys are missing
Cleaning isn’t up to standard
Items are damaged or left behind
We’re waiting on contractor quotes
And importantly, deposits are handled per property, not per person. So if one tenant causes a delay, it affects everyone.
Most of this comes down to planning slightly ahead and not leaving everything until the last morning.
Return your keys as soon as you’ve moved out. Make sure the property is genuinely clean, not just “good enough”. Double check nothing has been left behind.
It’s not complicated, it just needs doing properly.
